Email routing¶
How the site's forms decide who to email, and the one rule that keeps that working as staff change.
The one rule¶
Forms email group aliases, never personal addresses.
A group alias like kayak_hos@worldclassacademy.com is an address that forwards to whoever is currently in that group. So when the Kayak Head of School changes, you change one thing, the group's membership in Google Admin, and every form that mails kayak_hos@ keeps working with no edits.
If you ever see a personal Gmail address wired into a form notification, treat it as a bug. It will keep mailing that person after they leave WCA. Replace it with the matching group alias.
The groups, in plain terms¶
WCA's Google Workspace has a set of role and program aliases. The ones the website's forms use:
| Alias | Who it reaches |
|---|---|
info@ |
The public front door / office inbox |
tech_director@ |
The Technology Director (Michael) |
academic_director@ |
The Academic Director |
kayak_hos@, climb_hos@, kite_hos@, mtb_hos@, surf_hos@ |
Each program's Head of School |
Google Admin is the source of truth for who is in each group.
Which forms route where¶
Two forms on the site use these aliases automatically: the Contact Form and the Footer Newsletter Signup. See Newsletter signup.
Changing a Head of School (or any role)¶
If a Head of School or any routed role changes, tell Michael to update that group's membership in Google Admin. It is a one-line fix there, and every form that mails the alias keeps working with no edits.
